The phrase “fits a 16-inch laptop” sounds precise, but it is not a complete specification. Device bodies vary, sleeves add thickness, and a compartment can technically fit a computer while offering poor access or too little clearance from the base. Ask how the manufacturer develops fit
Provide actual device dimensions or a list of target models rather than screen size alone. Discuss compartment width, depth, padding, closure and suspension above the bag base. If the range needs both 25L and 40L sizes, decide whether they fit the same device family and how the larger bag prevents movement.
The sample should be checked with the intended laptop, charger and accessories. Look at insertion angle, zipper clearance and access when the clothing compartment is full. A thick foam panel is not automatically better if it steals space or distorts the pack.
Map the trip before drawing pockets
A commuter may want quick access while standing on a train. A two-night business traveller needs clothing separation and a wide opening. Review the points that wear first

Load the sample as it will be used. Walk with it, place it on a suitcase handle, open it on a table and retrieve the laptop without unpacking the clothing zone. These ordinary actions reveal more than a studio photograph.
Carry-on language needs a named reference
A 40L backpack cannot be described as universally carry-on compliant. Airline and fare rules vary, and a soft bag can exceed dimensions when overpacked. If cabin compatibility matters, identify the target carriers and maximum packed dimensions. Keep the final product copy specific rather than making a blanket promise.

- Finished dimensions, capacity direction and packed silhouette.
- Fit for the specified laptop, base clearance and compartment access.
- Main opening, clothing restraint, organizer and passport-pocket usability.
- Shoulder straps, back panel, top handle and trolley sleeve under load.
- Fabric, lining, foam, zippers, hardware, reinforcement and workmanship.
- Logo artwork, position, colour and appearance on the filled backpack.
- Packaging, labels, carton marks and inspection reference points.
Compare suppliers by process, not presentation
Ask who owns pattern development, how revisions are recorded, whether a pre-production sample is used and which points are checked in line and at final inspection. A capable answer should connect the approved sample to measurable details such as compartment dimensions, stitch and reinforcement placement, zipper function and logo position.
Quotation and MOQ depend on fabric, colour, foam and lining, hardware, custom logo, size split and packaging. Put each supplier on the same specification before comparing price. If the brief is incomplete, treat the first price as a working estimate rather than a final purchasing decision.
Send an RFQ that shows the journey
Include target users, trip length, 25L or 40L direction, laptop dimensions, estimated quantity, destination market, compartment list, material preference, logo files, packaging, target carrier dimensions and timing. Reference images can show taste, but mark the details that should be changed instead of asking for a direct copy.
